Privacy Policy

1.​Who we are

Phaseline builds custom websites, private business systems and custom software for Indian businesses. We are based in Delhi, India. In this policy, "Phaseline", "we", "our" and "us" mean our team.

This website is a marketing site. It is not a shop, and you cannot buy anything on it. You can reach us at connect@phaseline.in or on WhatsApp at +91 85954 75007.

2.​What we collect

We collect only what we need to reply to you and to understand your project.

• Contact form: your name, business name, email address, phone or WhatsApp number, and the project details you write.
• Email: if you email us, we see your email address and your message.
• WhatsApp: if you choose to message us on WhatsApp, we see your WhatsApp number and whatever you send us.
• Phase AI chat: the messages you type into our Phase AI chat assistant, and the details you enter if you use the short form inside the chat. See "Phase AI chat assistant" below.
• Technical data: like most websites, our servers record basic technical data when you visit, such as your IP address, your browser type and the pages you open. We use this to keep the site working and secure.

We do not use analytics, advertising or tracking tools on this website. We do not ask for payment details.

3.​Why we use your information

• To reply to your enquiry.
• To answer your questions in the Phase AI chat and to keep its use within fair limits.
• To prepare a proposal and understand the scope of your project.
• To contact you about your project, including sending a mutual NDA if you ask for one.
• To keep this website working and secure.
• To meet legal requirements.

4.​Consent

When you send the contact form, we ask you to tick a box agreeing that we may use your details to reply to your enquiry, as described on this page. That is the basis on which we use the details you give us in the form.

You can withdraw your consent at any time (see "Your rights" below). Withdrawing does not undo anything we did before you withdrew.

5.​Who we share it with

We share your information only with the services we need to run this website and to talk to you:

• Our hosting provider, which hosts this website and its server code.
• Our database provider, which provides the private database where contact form submissions and Phase AI chats are stored.
• An AI service provider, which runs the AI model that writes Phase AI's replies to questions it cannot answer from its stored answers. It receives your question and the last few messages of the chat.
• An email delivery service, which sends our team the weekly Phase AI chat file described below.
• A form service, which passes the details from the contact form to our email inbox.
• WhatsApp, only when you choose to message us there. WhatsApp is run by another company and has its own privacy policy.
• Email providers, because an email you send us passes through your email provider and ours.
• Authorities or advisers, only where the law requires it.

We do not sell your personal data, and we do not share it for advertising.

6.​Where it is stored

Contact form submissions are stored in a private database run by our database provider, and a copy is emailed to our team through our form service. Phase AI chats are stored in the same database. This website is run by our hosting provider. These providers, and our AI service provider, run servers in more than one country, so your information may be processed outside India.

7.​How long we keep it

We keep the details you send us in the contact form, by email or on WhatsApp so we can follow up on your enquiry and refer back to your project. We do not set an automatic deletion date for these.

Phase AI chats are treated differently: they are kept in our database for about a week, then emailed to our team as a spreadsheet and deleted from the database. The spreadsheet stays in our private email inbox. We delete a chat from it if you ask. If you would like your information erased, ask us and we will erase it, unless the law requires us to keep it (see "Your rights" below).

8.​How we protect it

Your details reach us over an encrypted HTTPS connection and are stored in a private database that is not open to the public. Access is limited to our team, and we use your details only for the purposes described on this page.

9.​Your rights

Under India's Digital Personal Data Protection Act, 2023, you can ask us to:

• tell you what personal data we hold about you;
• correct data that is wrong or out of date;
• erase your data;
• withdraw your consent;
• let you nominate another person to act for you if you cannot; and
• hear your complaint (see "Complaints" below).

To use any of these rights, email us at connect@phaseline.in from the address you used to contact us. We may ask you to confirm who you are before we act on a request.

10.​Complaints

If you have a concern about how we handle your personal data, write to the Phaseline team at connect@phaseline.in with "Privacy" in the subject line. We will look into it and reply. If you are not satisfied with our reply, you may also complain to the Data Protection Board of India once it is able to receive complaints.

11.​Phase AI chat assistant

Phase AI is an automated assistant. It can make mistakes, and our team confirms every detail with you before anything is agreed. Please do not type passwords, payment details or other sensitive information into the chat.

• Common questions are answered by the page itself from a list of stored answers. These messages stay in your browser and are not sent to us or saved.
• Other questions are sent to our server and then to our AI service provider so that the AI can reply. We save your question and the reply, the page you were on, the time, and a one-way code made from your IP address and a secret value. We do not save your IP address with the chat.
• Limits: we count AI questions using that code to keep use fair, currently 10 per hour for each visitor.
• The chat form: if you send your details through the form inside the chat, they are handled exactly like the contact form, including the consent box.
• Your browser: the chat keeps the conversation in the page's memory only. Nothing is saved in your browser, and the conversation is gone when you reload the page.

12.​Data we handle for our clients

When we build a business system for a client, such as a system that holds records of their members, orders or customers, the client decides what information is collected and why. We handle that information only to build and support that system.

If your information is held in a client's system, please contact that client about it.

13.​Cookies and similar tools

This website does not set cookies of its own. Our Cookies Policy explains what is stored in your browser.

14.​Children

This website is not meant for children, and we do not knowingly collect information from them.

15.​Changes to this policy

When we change this policy, we will update the date at the top of this page.
